Shoot Ops · A specialist real-estate-media practice by DaVeenci

From order email
to delivery gate.

Shoot Ops is a set of modules for real-estate media companies, each doing one job inside the platform you already run — starting with Concierge Order Intake. They place and schedule orders, review them continuously, repair known exceptions safely, and verify every deliverable before release.

Built for
  • Aryeo
  • Spiro
  • HDPhotoHub
  • Full Frame
  • ViewShoot

The modules drive each platform’s own order forms and pages, so a new platform is a mapping, not a rebuild.

Evidence ledger

The workflow, the controls, and what exists today.

Shoot Ops is presented as an operating practice, not a concept. This ledger separates the reusable vertical knowledge from the modules running inside it.

Recurring input

A structured listing-order email

Customer, property, package, requested services, scheduling window, and delivery commitments enter through one repeatable intake.

Original manual workflow

Re-key, cross-check, chase, and spot-check

Operators moved between the inbox, Aryeo, schedules, and media records while carrying exceptions and follow-up rules in their heads.

Systems integrated

Gmail, Aryeo, scheduling, and media delivery

The modules coordinate reads, verified write-backs, shared state, retry budgets, tags, and direct links for operator review.

Human approval gates

Ambiguity and consequence stop the system

Unreadable fields, uncertain matches, pricing conflicts, media-quality findings, and reschedules route to a person instead of being silently passed.

Finished output

A scheduled, reviewed, delivery-ready job

The system leaves behind an inspectable job, completion tags, verified deliverables, per-photo findings, and an actionable morning report.

Exceptions handled

Known issues repaired; unknowns isolated

Mechanical problems can be corrected with read-back verification. Ambiguous or high-consequence cases become focused human tickets.

Operating status

Live where proven; switched on per client elsewhere

Concierge Order Intake, Order Review and Daily Report are live. Real-time Photo Review is built and is switched on per client once its checks are tuned; delivery rescheduling stays isolated until its production controls are confirmed.

Evidence currently exposed

4 modules · 8 checks · 75 mappings · 50 vision rules

The operating cadence is ten minutes, with persisted state and explicit evidence for every action and hold.

The operating system

Four modules. One closed loop.

Each module owns one stage of the work, shares state with the next, and knows exactly when to stop and ask a human.

01Concierge Order Intake

Turn an order email into a placed, verified order.

Reads the concierge order email, opens the right order form for the office and region, fills every field, finds the agent by email, adds the package and selections, books the nearest open slot and submits — then reads the order number back before it counts as placed.

  • Email intake with structured extraction
  • Agent by email, package and regional selections
  • Read-back verification; unsure cases held for a person

Inspect the order while it is still fixable.

Every ten minutes, eight operational checks run against each new order. Known mechanical issues are corrected safely with read-back verification; anything ambiguous becomes one focused ticket for a person instead of a silent pass.

  • Eight configurable business checks
  • Safe write-backs: notes, add-ons, on-camera email, payout tier
  • Reviewed, flagged, or retried — never quietly skipped

03Daily Report

See the whole morning before anything goes out.

From six o'clock, every listing due for delivery is audited against the product matrix and its ordered image types are confirmed by vision. One report before the 9 AM window says what is complete, what is missing and what needs urgent attention.

  • Deliverable checks across images, video, 3D, floor plans, files and URLs
  • Complete · missing · could not verify · urgent — in one place
  • One report a day with a direct link to every job

04Real-time Photo Review

Look at every photo the way an editor would.

Each delivered image is checked for focus, exposure, duplicates, coverage and the photo types the order asked for. Findings name the specific frames, and a ticket is raised only when something is wrong — one per order, once.

  • Per-image checks with a vision veto on outliers
  • Frames named by number, so the right picture gets fixed
  • Tuned per client from before-and-after examples
Why it is a team

The right kind of intelligence for each decision.

Shoot Ops does not ask one model to improvise the whole workflow. It assigns rules, perception, memory, and judgment to the layer best suited to each one.

Deterministic where it matters

Rules and verified browser actions handle irreversible operational changes. Generative judgment is not allowed to improvise a production write-back.

AI where perception helps

Vision is used for aerial, twilight, virtual staging, coverage, duplicates, blur, and exposure — the parts that require looking rather than matching fields.

Humans at uncertainty

Unreadable fields, ambiguous findings, and quality concerns route to people. Inconclusive never becomes pass.

Every action accounted for

Persisted state, idempotency ledgers, retry budgets, tags, and read-back checks make every action inspectable and safe to resume.

The modules · September 2026

Four modules. One question each. Start with Concierge Order Intake.

Each module runs inside the platform you already use and stops when it is not sure. Concierge Order Intake is the first, small one — a way to see how we work. The other three follow once it is live, each fitted to how your shop runs — and everything can be customised.

Concierge Order Intake

Did the order email become an order?

Reads the concierge order email and places the order on the ordering platform, then confirms it exists.

Right order form for the office and region; address, square footage, access notes, lockbox code; agent found by email, never by name; package and state-specific selections; nearest open slot to the requested time; submitted with no payment step. The order number is read back before the order counts as placed. Agent not found, no slot in the window, new client — the email is labelled and held for a person. Retries on transient failures; never places the same order twice.

Order Review

Is the order right while it is still fixable?

Checks every new order against eight rules and repairs what is safe to repair.

Profile notes, skip-to-add-on items, exteriors-only, square-footage anomalies against public records, missing lockbox combos, appointment-note anomalies, floor-plan variant vs. square footage, and an AI read of the notes for order changes and constraints. Safe fixes are applied with read-back verification — dated note lines, cancelling a stray add-on, the agent on-camera email, a public-record note with beds and baths, the stand-alone floor-plan payout tier. Anything with an issue becomes one ticket listing everything found; clean orders are tagged reviewed. A field that cannot be read is inconclusive, never a pass.

Daily Report

What is about to go out, and what needs a person first?

Runs every morning over everything due for delivery and gives the whole picture in one report: complete, missing, urgent.

Resumable sweeps from six o'clock over the delivery queue. Each listing is checked against the product matrix — photos, video, 3D, floor plans, files, URLs — and required image sub-types (aerial, twilight, virtual twilight, virtual staging) are confirmed by a vision model. The report before the 9 AM window lists what is complete, what is missing, what could not be verified and what needs urgent attention, with a direct link to every job. A sweep that cannot vouch for its scope sends nothing.

Real-time Photo Review

Is each delivered photo right?

Judges every photo — focus, exposure, duplicates, coverage, ordered photo types — and raises one ticket per order, only when something is wrong.

Every image is fetched and checked: self-calibrating blur and exposure outliers with a vision veto, perceptual-hash duplicates, room coverage, and the photo types the order asked for. Findings name the specific frames, so an editor fixes the right picture rather than re-opening the job. Each order is reviewed once; the ticket is the handoff. Checks are tuned per client from before-and-after examples and can be muted individually without a deploy.
